Who we are

CataZenta is run by Catazenta Private Limited, a company incorporated in India. Our office is at Second Floor, 17/21, St. Marks Road, Mahatma Gandhi Road, Bangalore North, Bangalore - 560001, Karnataka, India.

We decide how and why the information described in this policy is used. That makes us the “data fiduciary” under India’s Digital Personal Data Protection Act, 2023, and the “controller” under the EU and UK General Data Protection Regulation (GDPR).

What this policy covers

This policy covers catazenta.com (including www.catazenta.com), our documentation site at docs.catazenta.com, and the conversations that start there: demo requests, pilot applications, discovery calls, job applications and emails to us. It also covers product data you share with us for a demo or pilot before you become a customer.

It doesn’t cover the CataZenta platform itself. When your organization uses CataZenta, the agreement between your organization and us, including any data processing terms, sets out how we handle the data in your workspace. In that case your organization usually decides how its data is used, and we process it on its behalf.

Information we collect

We collect the information below. Most of it comes directly from you.

• Demo requests and pilot applications. When you submit the form, we receive your first and last name, work email, company name, phone number and country, along with the address of the page you sent it from.
• Quote builder and discovery calls. The quote builder on our pricing page asks for the modules you’re interested in, your catalog size, team size, languages, number of channels, your top priority, any notes, and your name and work email. When you choose Pick a time, these details are added to the Calendly booking link to fill in its form, so they may also be saved in your browser history. Calendly then collects the time you choose and anything else you add there.
• Emails. If you write to contact@catazenta.com or careers@catazenta.com, we receive your email address, your message and anything you attach, such as a CV for a job application.
• Product data for demos and pilots. If you share product data with us, such as a product export or images, or connect a store or system, we receive that data. It’s mostly business information, but it can include some personal information, such as a supplier contact’s name.
• Pilot workspace accounts. If you take part in a pilot, we create accounts in your pilot workspace for the people you nominate, using their name and work email. The workspace records what they do there, such as approving or rejecting suggestions.
• Technical information. Like any website, when you visit, your browser sends your IP address, browser and device type, the page you asked for and the page you came from. Our hosting provider uses this to deliver pages and keep our websites secure. When you use a feature from another company, such as the form, the booking window or the product tour video, or open a documentation page that loads fonts or the API reference viewer from another company, your browser sends the same details to that company. Our Cookie Policy lists them.
• Business contact details from other sources. To find people at companies that may be interested in CataZenta, we look up business contact details, such as your name, job title, company and work email, on professional networks such as LinkedIn, on company websites and in business contact databases such as Apollo.io.

What we don’t do

• catazenta.com doesn’t use analytics, advertising cookies, tracking pixels or tag managers, and it doesn’t set cookies of its own. Our Cookie Policy lists the few features that can store information in your browser, and when.
• We don’t sell your personal information.
• We don’t sign you up for newsletters unless you ask. The introductory emails described below each include a way to opt out.
• We don’t use your information to make automated decisions that have legal or similarly significant effects on you.
• Our forms don’t ask for sensitive information such as financial, health or government ID details. Please leave it out of messages and files you send us.

How we use your information

We use your information to:

• Reply to your demo request or pilot application, arrange your demo, pilot or call, and follow up about it.
• Contact people at companies that may be interested in CataZenta, for example with a short email introducing the product. Every such email lets you opt out, you can also opt out at catazenta.com/unsubscribe, and we stop contacting you when you ask.
• Prepare a quote based on the choices you share with us.
• Run a demo or pilot on your own product data, when you ask us to.
• Answer your questions and keep a record of our conversations.
• Consider your job application.
• Run our websites, keep them secure and stop misuse.
• Comply with the law, and establish, exercise or defend legal claims.

Our legal grounds

In India, we process personal information for the specific purpose you gave it to us for, such as arranging a demo, or with your consent. You can withdraw your consent at any time by emailing contact@catazenta.com. This won’t affect anything we did before you withdrew it.

When we use business contact details from other sources to introduce CataZenta, we contact you only in your professional role, and we stop when you ask.

If you’re in the European Economic Area or the United Kingdom, we rely on these legal bases under the GDPR:

• Steps you ask us to take before entering into a contract, such as arranging a demo, a pilot, a quote or a job interview.
• Our legitimate interests in answering business inquiries, introducing CataZenta to businesses that may be interested in it, keeping records of our conversations, running secure websites and handling legal claims. We rely on these only where your rights don’t outweigh them.
• Your consent, for anything we ask your permission for. You can withdraw it at any time.
• Legal obligations, where the law requires us to keep or share information.

Who we share it with

We share personal information only as needed for the purposes above, with:

• HubSpot, which receives demo requests and pilot applications and stores them in our customer relationship management system.
• Calendly, which schedules the discovery calls you book from our pricing page.
• Google, which provides our email service and so holds the emails you send us. When you play the product tour video, it streams from YouTube, which Google owns. Google handles information from YouTube under its own privacy policy. Our documentation site loads its font from Google Fonts, so Google also receives your IP address when you open a docs page.
• Amazon Web Services, which hosts, delivers and helps secure our websites. It also hosts the workspaces we set up for demos and pilots, provides the AI models our agents use when they work on product data there, and sends some of our emails.
• Grafana Labs, which receives monitoring data, such as logs and performance traces, from the workspaces we set up for demos and pilots, so we can keep them running and fix problems.
• Apollo.io, the business contact database we use to find people at companies that may be interested in CataZenta.
• Our professional advisors, such as lawyers and accountants, when they need the information to advise us.
• Courts, regulators or law enforcement, when the law requires it.
• A company that takes over all or part of our business, if that happens. This policy would continue to protect your information.

International transfers

We’re based in India, and our service providers operate in several countries, including the United States. Your information may therefore be stored or processed outside the country where you live.

When personal information from the European Economic Area or the United Kingdom goes to a country without an adequacy decision, we use the safeguards in our service providers’ data processing terms, such as the European Commission’s Standard Contractual Clauses (with the UK Addendum), or the EU-U.S. Data Privacy Framework and its UK Extension where a provider takes part. You can ask us for details at contact@catazenta.com.

If the Government of India restricts transfers of personal information to a particular country, we follow that restriction.

Product data you share for a demo or pilot

When you connect a system or send us product data, we load it into a CataZenta workspace set up for you, so you can see the platform working on your own products. Our team and our AI agents use that data only to prepare and run your demo or pilot. If we run the Product sourcing agent on your products, it searches the public web for missing details, so product names, brands or codes are sent as search queries to public search engines. If you’d rather we didn’t look up your products this way, tell us and we won’t run that agent on your data.

You decide what to share. Please share only data you’re allowed to share, and leave out personal information that isn’t needed. You can ask us at any time to delete the data or disconnect our access. Any pilot terms we agree with you in writing apply alongside this policy.

How long we keep it

We keep personal information only as long as we need it for the purposes above. These are our standard periods, unless the law requires us to keep information longer or your organization becomes a customer and its agreement with us says otherwise:

• Demo requests, pilot applications, discovery call bookings and emails: up to 24 months after our last contact with you.
• Business contact details we use to contact you: up to 24 months after our last contact with you, or until you ask us to stop. If you opt out, we keep only what we need to make sure we don’t contact you again.
• Product data and pilot workspace accounts from a demo or pilot: deleted when you ask, and at the latest 90 days after the demo or pilot ends. Backup copies are removed as our regular backup cycle replaces them.
• Job applications: up to 12 months after we make a decision, unless you join us or agree that we can keep your application longer.
• Website access and security logs, where we keep them: deleted after 90 days.
• Monitoring logs and traces from the workspaces we set up for demos and pilots: kept only as long as we need them to run those workspaces and fix problems.

How we protect it

Our websites use HTTPS, so information you send through them is encrypted in transit. We limit access to personal information to the people at CataZenta who need it, and we store it with established service providers.

No website or online service can be completely secure. If you think something is wrong, email contact@catazenta.com. If a breach affects your personal information, we’ll tell you and the relevant authorities where the law requires it.

Your rights

Depending on where you live, you have rights over your personal information. To use any of them, email contact@catazenta.com. We may need to confirm your identity first. We’ll reply within one month, and there’s normally no fee.

The next two sections list the rights you have in India and in the European Economic Area and the United Kingdom. Wherever you live, you can ask us what we hold about you and ask us to correct or delete it.

Your rights in India

Under the Digital Personal Data Protection Act, 2023, you can:

• Ask for a summary of the personal information we hold about you, how we use it, and who we’ve shared it with.
• Ask us to correct, complete, update or erase your personal information.
• Withdraw consent you’ve given, as easily as you gave it.
• Nominate someone to exercise your rights if you die or become unable to exercise them.
• Raise a grievance with us (see Grievances below) and, if you’re not satisfied with the outcome, complain to the Data Protection Board of India.

Your rights in the European Economic Area and the United Kingdom

Under the GDPR, you can:

• Access your personal information and get a copy of it.
• Correct information that’s wrong or incomplete.
• Ask us to erase your information.
• Ask us to restrict how we use it.
• Object to our using it where we rely on legitimate interests.
• Object at any time to our contacting you about CataZenta, and we’ll stop.
• Receive information you gave us in a portable format.
• Withdraw consent at any time, without affecting anything we did before.
• Complain to your local data protection authority. In the United Kingdom, that’s the Information Commissioner’s Office. We’d welcome the chance to help first, so please contact us too.

Grievances

If you have a concern or complaint about how we handle your personal information, email contact@catazenta.com with “Grievance” in the subject line, or write to us at our office. We’ll respond within one month of receiving your complaint.

Children

Our websites are for businesses and professionals. They aren’t meant for anyone under 18, and we don’t knowingly collect personal information from children. If you think a child has sent us personal information, email contact@catazenta.com and we’ll delete it.

Links to other websites

Our websites link to other websites and services, such as LinkedIn, YouTube and Calendly. They have their own privacy policies, and we’re not responsible for how they handle your information.

Changes to this policy

We may update this policy when our practices or the law change. We’ll post the new version here and change the “Last updated” date. If a change is significant, we’ll say so clearly on this page, and where we have your email address and the law requires it, we’ll tell you directly.
